Terms of use for the Francisco Porrua assembly hall

CONTEXT

Making a presentation consists of several essential steps and we try to accommodate all publishers —large and small— and authors —from self-published to international bestsellers— without charging for the use of the hall.

To carry out an activity in the hall it is necessary:

  • Square the agenda between sections of the bookstore, with authors and the press department of the publishers.
  • Place the order for the title to be presented.
  • Sometimes, prepare the sale of signed copies on the web, which will be dedicated before or after the talk, for later sale and thus extend the visibility of the work in the store.

All our activities are broadcast online and remain for posterity. It is necessary to prepare the YouTube and Twitch room, in addition to promoting the work and the activity we carry out through networks.

On the day of the presentation, one or two people from the bookstore staff will prepare the room and will be aware that everything goes well, take photos and announce the start on RR.SS., as well as manage the public, the influx, the signing queues and, at the end, collect the material from the assembly hall.

During the week we have fixed monthly activities:

  • Last Tuesday of the month: Gemma Solsona interviews an author in #UnDesvánPropio.
  • Last Wednesday: Carla Campos organizes the #ClubPratchett together with MaiMésLlibres.
  • Last Thursday: Inés Galiano and Carla Plumed (Café de Tinta) celebrate #FuriaEnLaLibrería.
  • Also once a month, Iván Ledesma meets with his #ClubMedianoche, and in 2024 the #ClubLovecraft starts.

In addition, in the month of July, the LCI School presents the works of the Master of Concept Art and we receive the visit and season closings of live podcasts such as Hotel Vader, Anonymous Readers and Estamos Vivas, among others. We also carry out blood donation campaigns, acoustic rock concerts (Enderrock), press conferences of festivals, etc.

MANUAL OF GOOD PRACTICES

Due to the high demand for the Francisco Porrúa assembly hall in recent times —with almost 250 presentations and talks organized in 2023—, we have put in writing some minimum conditions to improve and optimize event management:

  1. To request an event it is necessary to write to media@gigamesh.com with a copy to the corresponding section:

  2. To assess an act we need:

    • Technical data of the work: title, ISBN, PVP, publisher, synopsis and distributor.
    • Approximate date requested (flexibility is recommended).
    • Type of event (presentation, talk, round table, signings, podcast…) and participants.
  3. To ensure good dissemination on networks, promotional posters must be sent weeks in advance.

  4. If the projector or online broadcast is needed, it is mandatory to notify in advance and send the files one week before in PowerPoint, video (for projector) or PDF (for online images) format.

  5. Book signings must start at 18:30 h at the latest (19:00 h on Fridays and Saturdays).

    • If a large influx is expected, it can be advanced to 16:00 h or 17:00 h.
  6. Bookstore closing hours:

    • Monday to Thursday: 20:00 h.
    • Fridays and Saturdays: 20:30 h.
    • The activity must end before to collect the room in time.
  7. If food or drink is offered, the organizers must take care of cleaning.

  8. The maximum capacity of the room is 25 people seated and 10 standing.

    • If massive influx is expected, a guest list can be organized or the virtual box office can be used to control access.

To request a presentation it is not necessary that it be new, however, due to the high demand for dates, we can deny a presentation if the book is more than two or three months old —at the discretion of the agenda manager and the head of the section involved.

On Saturdays, the room is reserved for games activities and/or the English section, as well as during the week it is usually intended for literary activities. However, the availability of the room, whether on Saturday or during the week, can be reviewed in exceptional cases regardless of the section to which they are directed.
